Introduction

The GEO-data Society for Geological Instruments Ges.m.b.H. is committed to protect your privacy. This privacy policy explains what we do to protect your personal information when you visit our websites or use an online application (collectively referred to as a “site”) with a link to this statement. This policy describes what kind of information we receive when you contact us (for example, when submitting a comment or query, or when requesting support for our products or services). It describes the personal information we collect, the purpose for which we use that information, and your ability to influence how we use it. The policy also describes how we protect your personal information and how you can view and correct it. By accessing our sites or providing your information by connecting, you are consenting to the procedures for collecting and using data described in this statement.

In this privacy statement, “personal information” refers to information that identifies a specific person. This can include, for example: name, postal address, e-mail address, and telephone number. If other information – such as digital newsletter options, product purchases or consumer presettings – is associated with personal information, that information will also be considered personal information.

How we collect your data

Data you enter directly. Basically, you can visit GEO-data sites without providing any personal information. On certain pages, we will ask you for personal information in order to provide a service or transaction that you have requested. When contacting us (e.g. with a comment, query, or customer support request), you may also be providing personal information. Personal information obtained by GEO-data may include:

  • Contact information, e.g. name, title, name of your company/organization, e-mail address, telephone and fax numbers, and postal address

  • Information about your company and position

  • Your e-mail marketing settings

  • Financial information (including credit card or account information)

  • Information about citizenship and residence that allows us to determine your status in relation to export control regulations, in order to obtain information about certain technologies

  • Information that personalizes and simplifies your use of our sites, including registration details and technical information

  • Inquiries about our products and services, and orders of the same

  • Information that helps us to identify the products and services that best fit your needs

  • Registration information for events

  • Feedback on our sites as well as on our products and services in general

You do not have to provide any of this information. However, in this case we may not be able to provide the requested service or complete the transaction you requested.

Automatically collected information. We collect information about your visit to our sites. This includes the number of pages you have viewed, the number of bytes transferred, the links you have clicked, the material accessed, and other actions performed on GEO-data sites. We may connect this information with your personal information and use that information within the framework of this privacy policy. We also collect certain standard information that your browser sends to all websites you visit. This includes, among other information, your IP address, the type, functionality and language of your browser, the operating system, the date and time you accessed the site, and the website from which you accessed one of our sites. We do not connect this standard information to any other personal information.

Use of information by GEO-data GmbH

Services and transactions. We use your personal information to provide you with specific services and to perform requested transactions. These include, for example, providing information about GEO-data products and services, registering purchased products, processing product orders, processing warranty claims, replacing product manuals, responding to customer service requests, and enabling the use of our sites. In order to enhance your interactions with GEO-data, including but not limited to what we learn about you and your use of GEO-data products and services – the development and management of our products, services and customer care, and the provision of information about GEO-data products and services that may be of interest to you – it is possible that the information we collect on our sites is combined with information we have collected through other means.

Website and product improvement. We may use your personal information for business analysis and other purposes to improve the quality of our business, our sites, the GEO-data products and services (including new products and services), and to facilitate the use of our sites by ensuring that the same information does not have to be entered repeatedly and the sites meet your specific expectations and interests.

Communication. We may use your personal information to keep you informed about GEO-data products and services within your area of interest or to send you surveys on the use of GEO-data products and services. By using the contact details provided below in this privacy policy, you can opt not to receive advertising messages. In addition, every advertising e-mail we send contains a link allowing you to  unsubscribe from receiving the respective message. By unsubscribing from e-mail communication, you will be removed from the corresponding mailing list within 10 working days.

Job market. In connection with a job application or inquiry, you may send us information about yourself, such as a CV. This information can be used by GEO-data to evaluate your application. In the event of an unsuccessful application or inquiry, the information will be retained for a limited period of time to accommodate future opportunities. However, you can inform us that you would prefer this information not to be stored.

In addition to the uses described above, we may also use the collected information to detect, prevent, and respond to fraudulent activity, the infringement of intellectual property rights, the violation of our Terms of Use, legal infringements, and other improper use of our sites.

Use of cookies and web beacons

Cookies are text files that contain small pieces of information. These text files are stored on your hard disk or in your browser's memory when you visit a GEO-data site. Thanks to cookies, the content and layout of our sites can be made easier and computers and devices that previously visited our sites can be recognized. Cookies fulfill many different tasks, such as maintenance of your preferences on our sites, and help us to improve both the usability and performance of our sites and your user experience.

Our sites may contain electronic images, called “web beacons” (sometimes referred to as "single-pixel gifs"), which allow us to determine the number of users of each page. GEO-data can use web beacons in promotional e-mails or newsletters to determine if the messages have been opened and actions taken.

Cookie categories
The cookies used on the GEO-data sites belong to one of four categories: essential, performance, functional and profile cookies, and advertising cookies.

1. Absolutely required cookies
These cookies are necessary for you to be able to navigate our sites and use their features, especially in the context of information search and the order of products and services. Without these cookies, the requested services cannot be provided. These cookies do not collect information about you, cannot be used for marketing purposes, and do not save any Internet sites. An example of an essential cookie is the "shopping cart cookie". This cookie is used to remember the products to buy when you add these products to your cart or go to the checkout.

2. Performance cookies

These cookies collect information about how you use our sites, such as which pages you visit most frequently and whether you receive any error messages from specific pages. These cookies only collect anonymous information that improves the functionality of our sites.

These cookies are not used for targeted online marketing. Without these cookies, we cannot learn how our sites work. We are unable to make any significant improvements to give you a better browsing experience. Examples of performance cookies used by our sites are Google Analytics and Adobe Analytics (see more below).

3. Functionality and profile cookies

These cookies allow our sites to store the information you provide, such as the language settings of your location. Furthermore, these cookies store technical data that is useful for your communication with our sites. These include, for example, your user ID and elements of your user profile. The cookies also ensure that your user experience and the marketing efforts of GEO-data are relevant to you. They can also be used to provide requested services, such as video viewing or the ability to comment a blog. The information collected by these cookies is possibly anonymous. The cookies cannot track your browsing activity on other websites.

Without these cookies, a website is unable to save previously selected items or personalize your browsing experience. For example, we use a cookie to store your language preferences so that we can provide results in your language when you search for a product, and we use a cookie to store your choice about the appearance of the cookie information banner we display on our sites. This cookie retains your choice about the appearance of the cookie information banner when you later visit the site where you made the selection, or any other GEO-data site with the same domain, or a top-level domain.

4. Advertising cookies

These cookies are used to display targeted advertising. They are also used to determine how often an ad is displayed and to measure the effectiveness of an advertising campaign. While these cookies can track your visits to other websites, they generally do not detect your identity.

Without these cookies, your online advertising will not be tailored to your interests and is less relevant.

Defining your cookie settings

You have the option to accept or reject cookies. Most web browsers accept cookies. However, you can usually change your browser settings to block cookies or to notify you when a cookie is stored on your computer. If you block the storage of cookies, you may not have full use of the features on GEO-data websites or other websites.

Our use of web analytics

GEO-data uses standard web analytics tools to track visits to our sites. These tools are provided by Google Analytics and Adobe Analytics. The information collected by the cookie about the use of our sites (e.g. your IP address) is transmitted to Google and Adobe and stored on servers in the United States. Google and Adobe use this information to analyze the use of our sites, to produce website activity reports for website owners, and to provide other services related to website activity and Internet use. Google and Adobe may also share this information with third parties where required by law or when third parties process the information on behalf of Google or Adobe. Google and Adobe will in no case assign your IP address to other data stored by Google and Adobe.

Do Not Track (DNT) signals and similar mechanisms

Some web browsers may transmit Do Not Track (DNT) signals to sites the user is communicating with. Due to differences in the integration and activation of this feature in various web browsers, it is not always clear whether users intend to transmit these signals or if they are aware of them at all. There are currently differences – even among those organizations involved in defining Internet standards – about how and whether websites should respond when they receive such signals.

GEO-data is currently taking no action to respond to these signals. Once a final standard has been established and generally accepted, GEO-data will re-examine how to respond.

Disclosure of personal information

Any information we collect from you through our sites or that you provide when you contact us will not be shared with other companies outside GEO-data without your consent, with the exception of the cases listed below.

Disclosure of information to service providers. GEO-data commissions other companies to perform services on our behalf, such as website hosting, sending information, conducting surveys, processing transactions, analysis of our websites, profitability analysis and the conducting of other analyses that improve the quality of our company, our websites and GEO-data products and services. We provide these companies only with the information they need to deliver their respective services. These companies and their employees are prohibited from using this data for any other purpose.

Disclosure of information to dealers. When processing a request we receive from you, we may share your personal information with companies that sell our products. In such cases, we provide those companies only with the information needed to process your request. These companies and their employees are prohibited from using this data for any other purpose. In some cases, we may ask for your permission to share your information with distributors for marketing purposes, beyond the processing of requests. We will only pass on your personal information for such purposes if you have expressly given your consent.

Disclosure in connection with transactions. In connection with certain transactions, we may transmit your personal information or part of it to financial institutions, government agencies, freight companies or postal authorities involved in the transaction.

Disclosure of information in connection with acquisitions or divestment. Circumstances may arise in which GEO-data, for strategic or other business reasons, decides to sell, acquire, merge or otherwise restructure business interests in certain countries. Such a transaction may involve the disclosure of personal information to prospective or actual buyers, or it may be received from sellers. We may possibly share information that we hold about you to the extent necessary to negotiate and conduct a merger, acquisition or sale of GEO-data assets or sub-funds. In such cases, GEO-data endeavors to ensure appropriate data security.

Disclosure of information for other reasons. We may disclose personal information as required by law or where we are confident that this measure is necessary for any of the following reasons: compliance with legal obligations or directives, protection of our rights and property, and exigent circumstances in connection with the personal safety of an individual.

Security

GEO-data takes care to preserve the security of your personal information. We deploy a series of security technologies and processes in order to protect your personal information from unauthorized access, misuse or illegal disclosure. For example, we store your personal information on computer systems with restricted access located in institutions with strict access control. When registering on our websites, you are responsible for the security of your password and for not sharing this information with third parties. When navigating to a website on which you are registered or moving from one website to another using the same login mechanism, we will verify your identity by using an encrypted cookie stored on your computer.  

Viewing of personal information

In some cases, you will be able to view and possibly alter your personal information made available via our websites by navigating to the page on which you originally entered it. In all cases, it is possible to view and alter personal information collected by our websites or provided when you contacted us, as well as to request that it is no longer used by GEO-data. In order to submit such a request, please use the contact details given below. We may verify your identity before permitting access to your personal information. You can help us to update your information by informing us of any changes to your postal address, telephone number or e-mail address.

Consent to the international transmission of personal information

Personal information collected on our websites can be made available to the United States and any other country in which GEO-data, its contractors or suppliers, maintain a branch. We may store or process data in these countries. GEO-data is committed to guarantee data security, even where legislation on personal data protection in these countries may diverge from the laws of your country. By using our websites and transferring your data you have consented to the transmission of your data to other countries.

Information on children

GEO-data does not intentionally collect information on children. Children do not belong to the groups targeted by our websites on which information is collected.  

Links to other websites

Our websites can contain links to other websites, for example to those of dealers and connected distribution partners, business associations and government agencies, as well as of publications. Although we do our best to provide links exclusively to websites that share our high standards and respect for the private sphere, we are not responsible for the content, security and privacy policy of other websites.

Changes to this privacy policy

GEO-data may update this privacy statement at irregular intervals. In this case, the date of the last update at the beginning and end of this document will be adjusted accordingly. Should we carry out substantial changes in the collection, use or disclosure of personal information you have provided via our sites, we will point this out to you in a message sent to your last specified e-mail address or inform about the changes by means of a clearly displayed announcement.
